Faircape Health Tokai Estate is a prestigious Subacute Care and Rehabilitation Centre offering high-quality, patient-focused care for individuals recovering from a range of medical conditions, including Neurological, Orthopedic, Surgical, and Respite cases. We are seeking a highly organized and detail-oriented Administration Assistant to support our Clinical Manager based in the Southern Suburbs of Cape Town.
This pivotal role bridges clinical coordination with administrative efficiency, contributing directly to our mission of restoring patients to independence and wellness. Working closely with the Multidisciplinary Team (MDT), patients, and families, you’ll play a key part in maintaining communication, managing records, coordinating essential functions, and enhancing the overall care experience within our subacute unit.

Responsibilities:
Telephonic & Email Enquiries
- Serve as the first point of contact for all subacute and long-term care enquiries.
- Provide accurate information to families, case managers, and healthcare professionals about admission criteria, services offered, patient suitability, and availability.
- Follow up on enquiries and maintain a clear communication log to ensure prospective admissions are managed efficiently.
- Prioritisation Expert: Filtering through emails and correspondence to determine what’s critical. Your ability to anticipate needs and flag urgent matters will keep the Clinical Manager informed
- Ad Hoc Support: Be the extra pair of hands and eyes that keep things running smoothly.
Facility Tours
- Schedule and conduct professional, informative tours of the Tokai Estate healthcare facility for prospective patients, families, and referring clinicians.
- Highlight the unique features of our rehabilitation programs, living environment, and the multidisciplinary support available to patients.
- Ensure follow-up communication after tours to assist families in the decision-making process.
Report Management
- Collate and review all incident reports related to Tokai Estate patients, ensuring reports from allied health professionals are submitted within the required timeframe.
- Forward completed reports to the Clinical Manager for review and further action.
- Extend oversight to the entire group by overseeing incident reports from all the villages within the Southern Suburbs and uploading them to Monday.com for visibility and tracking.
- All reports requiring sign-off by the Clinical Manager should be reviewed. This includes not only incident reports, but also long-term reports and day pass requests.

Requirements:
Qualifications
- Tertiary qualification in Healthcare Administration, Office Administration, or a related field (advantageous)
Experience and Knowledge
- Experience in a healthcare or clinical environment is highly desirable
Skills and Attributes
- Strong administrative and organizational skills – able to manage multiple tasks, files, and schedules efficiently
- Excellent communication skills – both written and verbal, with the ability to interact professionally with medical staff, patients, and families
- Attention to detail – particularly in handling patient information, incident reports, and documentation
- Proactive problem-solving abilities – able to anticipate needs and act independently when required
- Discretion and confidentiality – essential when handling sensitive patient or clinical information
- Reliable and trustworthy – dependable in managing administrative duties accurately and on time
- Flexible and adaptable – open to taking on varied responsibilities in a dynamic care environment
- Ethical and respectful – demonstrates integrity, respect, and professionalism in all interactions
