Alert Engine Parts is searching for a organised and friendly Receptionist to join the branch in Polokwane. The incumbent will operate a multi-line telephone system to answer incoming calls; directs callers to appropriate personnel; completes a variety of administrative duties. The successful candidate will report to the Branch Administrator.

Key Performance Indicators will include, but not limited to;

Switchboard:

  • Answering a high volume of inbound and outbound calls efficiently and maintaining a response rate swiftly in accordance with agreed Aftermarket Solutions standards
  • Providing information and assistance to callers
  • Taking and relaying messages to relevant parties
  • Correcting and updating the electronic telephone directory
  • Opening rooms and ensuring the setting up of equipment required in doing
  • Ensuring the updating of bulletin boards
  • Maintaining regular attendance, personal appearance, punctuality and adherence to lunch and tea times set with co-workers

Reception:

  • Performing all necessary reception tasks in an effective, professional and gracious manner
  • Receiving and greeting visitors, determine their needs in a professional manner, offering them refreshments and directing them accordingly
  • Sorting and distributing incoming mail, preparing outgoing mail for pick up or courier and organizing courier deliveries
  • Monitoring people coming and going through the reception doors and issuing visitors with passes where required
  • Being aware of and reporting suspicious activity
  • Booking meeting rooms and liaising with the tea ladies about refreshments and catering for meetings

 

Qualifications and Experience

  • Matric essential
  • Previous experience as receptionist- Essential
  • Have basic admin experience.

Knowledge, Skills and Abilities

  • Organised, accurate and professional
  • Must be able to work as part of a team
  • Must be a quick learner
  • Honest
  • Trustworthy
  • Must be able to work under pressure
  • Great telephone etittique
  • Good communication skills
