Introduction
To provide professional secretarial and administration support to the HOD of the Supply Chain Management Unit.

Specification
Key Performance Areas:
- Manage and administer the HODs’ diary and itinerary.
- Type and prepare all the necessary documentation for the HOD.
- Ensure the safe keeping and filing of all documentation and records in the office of the HOD in line with the relevant legislation and policies.

- Ensure the smooth running of the HODs’ office by handling all correspondence and queries requiring the attention of the HOD.
- Obtain inputs, collates and compile reports, e.g. progress, monthly and management reports.
- Scrutinize routine submissions/reports and make notes and/or recommendations for the HOD.
- Respond to enquiries received from internal and external stakeholders.
- Clarify instructions and notes on behalf of the HOD.
- Handle and manage cash flow in the office of the HOD including petty cash.
- Perform routine duties in the office of the HOD including telephone, travel arrangements, hotel bookings and arranging appointments and meetings with stakeholders.
- Interface with internal and external client.
- Responsible for Supply Chain Management Unit’s stationary control and providing input on stationary budget.
- Provide administrative support to the Supply Chain Management Unit.
Other Key Competencies:
The candidate must demonstrate the following skills and attributes: Good interpersonal skills, office administration and communications (both verbal and written) skills; ability to organise and liaise well with people at all levels; excellent computer and IT skills; ability to function under pressure and monitor projects as assigned. An ability to maintain confidentiality is key.

Requirements
An appropriate Secretarial qualification and a minimum of 1 years’ PA (Personal Assistant) experience or equivalent or Matric with 1 to 2 year’s administrative experience. The abilities to undertake work with initiative and efficiency and to handle more than one task at a time are essential.
The candidate must have advanced MS Products knowledge (Word, Excel, Access, and PowerPoint).
